This Privacy Policy explains how we collect, use, and protect personal data on the conference website and in connection with paper/abstract submissions via the submission system.

Paper/Abstract submission and conference participation

On this website we use a plugin through which authors submit abstracts/papers for the conference and provide the information necessary for processing the submission, communication, and programme organization.

What data we collect when you submit a paper

When submitting a paper via the WP Abstracts form and user interface, we may collect the following personal data (depending on the form settings and the information you provide):

  • First and last name of the submitter / corresponding author

  • Contact email address

  • Telephone number (if requested)

  • Details of additional authors/co-authors you provide (e.g., first and last name, contact email address and/or other contact details, depending on the form)

  • Information related to the submission (e.g., title, abstract/text, keywords, institution/organization, thematic area, and similar information, if included in the submission)

  • Uploaded files/attachments (e.g., the paper document, additional files), if file upload is enabled

  • Technical data related to system operation (e.g., logs of login/access to a user account, submission time, etc.) to the extent necessary for system functionality and security.

Why we process this data

We process personal data for the purposes of:

  • receiving, recording, and administering paper submissions

  • communicating with authors (confirmations, status notifications, instructions, organizational information)

  • organizing the scientific/programme content of the conference (e.g., preparing the programme, lists of accepted papers, book of abstracts, etc., where applicable)

  • conducting the peer-review process and making decisions on acceptance/rejection of submissions (where peer review is carried out).

Who can access the data

Access to the data is limited to authorized persons of the organizer (e.g., website administrators and members of the organizing/scientific committee) to the extent necessary for processing submissions and organizing the conference.

If a peer-review process is conducted, designated reviewers may also have access to relevant parts of the submission. Depending on the conference rules, peer review may be organized so that the identity of the author and/or reviewers is not disclosed (e.g., an anonymous process), if such a rule is applied in the system and conference procedures.

How long we keep submission-related data

Data related to paper submissions (including data about authors and co-authors, as well as the submission content and attachments) is kept for as long as necessary to run the conference and related administrative activities, and thereafter in accordance with internal document retention rules and applicable regulations.

If you would like your user account data to be removed after the conference, you may contact us using the details provided in this Policy (note: we may need to retain certain data to comply with legal obligations or for legitimate administrative reasons).

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, as well as the visitor’s IP address and browser user agent string to help with spam detection.

An anonymized string created from your email address (also called a “hash”) may be provided to the Gravatar service to determine if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site, you may opt in to saving your name, email address, and website in cookies. These are for your convenience so that you do not have to fill in your details again when leaving another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine whether your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display preferences. Login cookies last for two days, and screen options cookies last for one year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after one day.

Embedded content from other websites

Articles on this site may include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor had visited the other website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

Submission data may be shared with authorized members of the organizing/scientific committee and, where applicable, with reviewers for the purpose of conducting the peer-review process and organizing the conference.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you have submitted a paper or are listed as a co-author, you may request access to, rectification of, or erasure of personal data related to the submission, noting that erasure may be restricted where processing is necessary for conference procedures, compliance with legal obligations, or the organizer’s legitimate administrative needs.

Where your data is sent

Visitor comments may be checked through an automated spam detection service.

Data security

We apply reasonable technical and organizational security measures to reduce the risk of unauthorized access, alteration, loss, or misuse of data. However, no method of transmission over the internet or electronic storage is completely secure.
